Office Assistant

TITLE: Office Assistant

REPORTS TO: CEO/Operations Manager

JOB SUMMARY:
Under the general direction of the Owner/Operations Manager, the primary responsibilities of the Office Assistant are to professionally and courteously greet, direct and assist guests and clients on telephone and in person; prepare correspondence, forms, reports, presentations and databases; read and route incoming mail; arrange for packaging, mailing and/or transporting of mail and materials; create and maintain files; file documents accurately and timely and maintain confidentiality of all client information.

EXPERIENCE | EDUCATION:

  • High School Diploma or equivalent plus a minimum of one year of experience in an office assistant and/or customer service role in a fast-paced office environment.

JOB REQUIREMENTS:

  • Normally, 40 hours per week with extra time as needed to support the mission, activities and expansion of the organization. Any overtime must be preapproved by Management.
  • Knowledge of general office procedures and customer services principles and practices.
  • Demonstrated skill and proficiency with Windows-based computer applications (specifically Word, CRM, Power Point, Outlook and Excel Software) and other industry-related software, QuickBooks, TSHEET and office equipment.
  • Excellent conceptual thinking skills and the ability to identify and analyze complex and sensitive issues, problems and conflicts and to use independent judgment to make decisions, and to recommend and/or implement solutions.

  • Read and route incoming mail. Locate and attach appropriate file to correspondence to be answered by employer if needed; process all appropriate paperwork and maintain data and update profiles as necessary or required on a timely basis.
  • Assist with the production of client communications, marketing materials and mass mailings including creating and maintaining labels; arrange for packaging, mailing and/or transporting of mail and materials. Prepare out-going mail and correspondence, including e-mail and faxes.
  • Coordinate managers’ schedules and make appointments as directed.
  • Maintain office supplies by ordering necessary supplies; arrange for technical support and/or maintenance of copy and fax machines and other office equipment; also, maintain conference room schedule, ensure common office areas and conference rooms are neat and tidy and arrange for catering as requested.
  • Participate in cross-training with other positions both as necessary and as requested by supervisor to ensure that the workflow is uninterrupted during absences from work. This cross-training may involve learning at least one other position; also training at least one other individual to perform the Office Assistant work functions.
  • Develop, maintain and update a procedures manual for the position as well as a year-at-a-glance listing of all activities/responsibilities to ensure time-specific functions are prepared for and met in the normal course of business, and not "crisis" mode.
  • Develop, recommend and implement (with firm management’s approval) new processes and procedures to reduce errors in data entry, reduce processing time and increase efficiencies.
  • Regular, consistent, and punctual attendance is an essential function of this position.

Site Supervisor

TITLE: Site Supervisor

JOB SUMMARY:
Under the general direction of the Area Manager/Regional Manager, the primary responsibilities of the Site Supervisor are to be responsible for planning, execution and delivery of an account services and to manage departments, plan various company operations and activities, control resources, review financial statements, create budgets, and communicate with other management professionals within the organization to keep the company running smoothly

EXPERIENCE | EDUCATION:

  • High School Diploma or equivalent. Five years Supervisor experience in the cleaning industry. 10 years cleaning experience with general and special project work.

JOB REQUIREMENTS:

  • Supervisory and management experience.
  • Total knowledge of general facility cleaning.
  • Knowledge of project work/special services. Carpet cleaning; stripping and waxing; buffing and burnishing; scrubbing and recoating; carpet spotting and window washing.
  • Demonstrated skill and proficiency with cleaning equipment.
  • Demonstrated skill and proficiency with consumable supplies.
  • Total knowledge of identifying surfaces and make recommendations for proper cleaning procedures.

Cleaning Technician

TITLE: Cleaning Technician

COMPANY: Wellspring Cleaning Services, LLC

REPORTS TO: Supervisor

JOB SUMMARY:
Cleaning Technicians play the most important role in our company – providing cleaning services to our clients. Under the general direction of the Supervisor, the cleaning technician is responsible for cleaning and sanitizing client locations according to the cleaning specifications for each building. Cleaning tasks include but are not limited to; cleaning entryways and public areas, trash removal, dusting, cleaning floor surfaces, cleaning and restocking supplies in restrooms, break rooms and coffee centers.

EXPERIENCE | EDUCATION:

  • Experience as a cleaning technician can be helpful but is not necessary.
  • Education requirement: High School diploma or equivalent.

JOB REQUIREMENTS:

  • Must be able to work evenings between 5pm and 11pm, approximately 20-25 hours per week.
  • The position may require the employee to travel to more than one client location.
  • Regular, consistent, and punctual attendance is an essential function of this position.

PHYSICAL DEMANDS | WORKING CONDITIONS:

  • Must be able to lift and move objects up to 30 lbs. as necessary.
  • Moderate physical activities, which may include pulling, pushing, lifting, reaching, bending and repetitive movements.
  • Demonstrated skill and proficiency with cleaning equipment.
  • Use of cleaning products, which require the use of protective gloves and eyewear.
  • Safety is of the utmost importance. Cleaning Technicians must work in a way that complies with all safety regulations required by [Company Name] and OSHA.

  • Clean and maintain janitor/storage closet and company vehicles in a clean, organized and safe manner.
  • Maintain all equipment and supplies so they are clean and in a safe and operable condition.
  • Ensure proper labeling on all cleaning chemical containers.
  • Ensure proper dilution ratios of cleaning chemicals.
  • Order cleaning supplies and/or restroom and breakroom supplies as required.
  • Sweep entryway inside and out, dust and remove cobwebs, remove fingerprints and soil from doors and glass, vacuum mats, mop floors.
  • Clean all public areas including lobby, reception area, elevators and stairwells.
  • Straighten furniture – push chairs into desks and conference room tables, straighten chairs and magazines in lobbies.
  • Empty all trash cans, replace liners and clean receptacles as needed.
  • Dust horizontal and vertical surfaces.
  • Clean table tops, counter tops, sinks, microwaves and refrigerators in break rooms.
  • Clean counter tops, sinks and drinking fountains in coffee center areas.
  • Clean and sanitize restrooms, restock supplies.
  • Sweep, vacuum, and mop all floor surfaces.
  • Clean up spills on floors and carpets as necessary (except blood spills – only trained personnel are required to clean blood spills).
  • Greet people working in the office in a polite, respectful and helpful manner to ensure positive relationships. Screen and route requests to supervisor if necessary, provide timely and accurate customer service support.
  • Perform other duties as requested or required by management.
